Here’s a quick overview for how to plan your plan!
One year out – Start early with the big-ticket items
Set the date for your event (having a couple of back-up dates is a smart move too!), set your budget, decide on the style of your event and find your venue.
11/10 months out – Build your team
Don’t go it alone, engage with professionals who have done it all before and use their knowledge and expertise to ensure your event turns out just the way you want it to. While you’re hunting for the best photographer, videographer, florist, caterer, hairdressers, cake maker, driver and dressmaker, it’s also time to look at your music and MC options. Lock all these people in as early as possible as great people book fast!
6 months out – Devil in the details
Now knuckle down and get busy. Write your guestlist, create your invitations, make all those fun choices – colours, linens, menu, cake flavour, flowers, etc., finalise all your professionals (pay deposits, sign agreements etc.) Make all the purchases you need to make – dresses, rings, shoes, gifts for helpers etc.
4 months out – Step-it-out
Work with your Venue manager & MC to put together a run-sheet for your event. From set up to pack down, think about timings and the order of events. What you want to include? What you want to avoid? Work with your professional MC to determine the best possible order of introductions, speeches, and announcements so that all the important people get to have their minute in the spotlight.
3 months out – confirm, confirm, confirm
Take a moment to regroup, back track and confirm all your professionals are booked and paid for, and your choices have all been made. If anything needs to be followed up on, do it now. Most importantly make sure you are confident all your professionals know your expectations and ensure there is no confusion.

1 month out – Finalise
Collect all your RSVPs, advise your venue of final numbers and special requirements, plan your seating chart, print programs, menus, table seating lists and place cards. Organise any extra helpers you might need on the day or in the days leading up to the event and confirm what you need from each of them.
